A Welcome Email is often the first direct communication between your brand and a new subscriber or user — and a great opportunity to make a strong first impression. Here's how to easily create a welcome automation using the Journey Builder.
Before you start, make sure you have:
- A created segment of new subscribers (e.g. from a form)

Step-by-step: Creating a Welcome flow
1. Go to Automation > Journey Builder
This is the place where you'll visually design your communication flow.
Step 2: Create a new flow
Click Create New journey and name it, for example, Welcome Email – Newsletter Subscribers.
Step 3: Set Entry Source
Choose what will activate the automation.
This can be:
- Submitting a form (e.g., newsletter signup form)
- Entering a specific segment
- Triggering the flow via API
For a newsletter welcome flow, choose form submission as the entry source – that way, every time someone subscribes via your form, they will enter this journey.
Step 4: Add Email Block
Add an channel of communication (e.g.Email Block), select your pre-designed welcome email template, and personalize it with placeholders like {{first_name}}.
Step 5: Finalize the automation
Each journey should end with a Journey End block to wrap things up properly.
Once you are happy with the results, go to Publish and your Journey will be saved and ready to be used in a Automation.
Now that you're satisfied with the journey you’ve created, it’s time to adjust the message content, set the sending time, and fine-tune the flow. Here’s how to do it step by step.
Once you click “Publish”, you’ll be automatically redirected to the Journey Builder page, where your newly created journey will appear at the top of the list.
Step 6: Building the Automation Flow
To start building the flow, you can either:
- Click on + Create new flow directly from that page, or
- Navigate to the Automation tab and click + Create new flow there.
Step 7: Add Flow details
Make sure that all field are populated to your desired liking.

Step 8: Customize the journey
Since we’ve selected Form as the entry source, the next step is to choose the specific form from the dropdown menu. This form will act as a trigger—each time someone fills it out, the automation will be initiated.
For the email message, select the email template you’ve prepared earlier. It will automatically appear in the preview, or you can create new from beginning here.
Make sure the message aligns with your goal—for example, welcoming new subscribers, offering a discount, or providing helpful resources. This is the key step where you tailor the experience to your audience and increase the chances of engagement.
Once you are satisfied with the results, your view will look like this and you can click on Continue;
Step 9: Last step – Set the flow configuration
Now that your journey structure is ready, it's time to fine-tune the flow behavior and communication settings.

Schedule
Define when the flow should start and end, so everything runs exactly when you need it to. -
Entry limits
Decide how many times a profile can enter the flow.
Now, click “Create Flow.”
You’ll be redirected to the Automation page, where—depending on your user level—you can approve the automation and activate it. Once activated, your automation is ready to go!
